CATALOGING:
Please make sure you are using your cataloging login when importing and/or editing records. Do not use the circ logins when cataloging. Cat3 tasks (matching and attaching) can be done from either circ or cataloging logins.

UPDATED CHEATSHEETS AND GUIDELINES:
Cataloging documents have been updated on the website at Cataloging – Staff Resources (sagestaff.org). Please make sure you are using the most recent version if you are keeping printed copies for reference. Take advantage of these resources as they are very helpful. For instance, MARC 33x for RDA Cataloging contains lists of 3xx combinations that you can copy and paste into your records. The Series Guidelines document, although older, still contains useful information and examples on how to correctly catalog series information for multiple authors, etc. Please notify Beth, or a mentor if you find any discrepancies between the website documents and the new RDA training information.
FIXED FIELDS:
Beth has added several dropdown menus to the fixed field grid in the Enhanced MARC Editor view. You can access the menus by right clicking on the fixed field. If you do not see the menus, clear your cache and any cookies related to SAGE within your browser.
Sometimes you will see the wrong fixed field grid when you switch from one record type to another. For instance, if you catalog a DVD and then open a book record you may still see the fixed field grid for DVDs. If this happens, simply click the refresh button and the display will correct itself.
AUDIOBOOKS 020 AND 024 FIELDS:
When cataloging audiobooks, look carefully at the information displayed on the item. Does it list an ISBN, EAN, and/or UPC? The 020 field is only for the ISBN. If you determine that you need a 024 for UPC or EAN, make sure you are using the correct first indicator. Check the OCLC Bibliographic standards to determine the correct indicator, or right click on the indicator field to access dropdown menus.

UPDATED LCGFT GENRES:
These are new LOC approved genres that you can use:

Lcgft is a controlled vocabulary. For a long time, they didn’t have approved terms for these genres. Because of that, we had to find workarounds (see below). Now we can use the authorized lcgft genres, which are listed in https://authorities.loc.gov/ and https://id.loc.gov/.
The following are some of the old “work arounds” and the new authorized headings:

John provided a history lesson on genres in LOC. Long ago there was little difference between the 650 and 655 headings. When LOC began to approve new genre headings, they did not remove those terms from the 650 subject headings list. That is why you often see authorized genre terms also as authorized subject headings. SAGE preference is to use genre terms in the 655 and not duplicate them in the 650.
In order to determine whether a term should be a 650 subject heading or a 655 genre term, decide if the term describes what the book IS, or if the term describes what the book is ABOUT. Use a genre term (655) for what the book IS. Use a subject heading (650) for what the book is ABOUT. For instance, if the book IS a manga, use manga as a genre term in the 655. If the book is ABOUT the history of manga, use the term as a subject heading in a 650.
In most cases, you will not use the same term in both the 650 and the 655. Theoretically, you could have a nonfiction book about the history of large type books in publishing that is also printed in large print format, but the assumption is that this would be a rare occurrence!
When you import a record that has a 650 that should be a 655, feel free to change it. Make sure you use the correct authorized heading and the $2lcgft source. This is a sweeping change and one that will take a while to get caught up in records. Contact a mentor if you have any questions.
.COM IN THE 500 and 520:
Do not include “.com” after company names in the 500 notes and 520 summary. If you find it when importing, please delete it. We aren’t referencing the web site in these fields. We are referencing the company that the information comes from.
Examples:
520 \\$a”A missing teenager and an octogenarian found dead of apparently natural causes are pretty run-of-the-mill cases in Bisbee, Arizona, where Sheriff Joanna Brady is focusing on the last-minute details of her upcoming wedding” — Goodreads.com.
500 \\$a”WARNING: CHOKING HAZARD — small parts. Not suitable for children under 3 years” — Hasbro.com.
HELP TICKETS AND SERIES PROBLEMS:
Help tickets can be used by staff or patrons. Staff are welcome to email Beth or Jon Georg directly with issues/questions, or they can use the help ticket system. Either is fine. You need to make an account as the first step to submitting a ticket. This is a separate registration from any existing library accounts or cataloging logins. Tickets go to Beth and Jon. From the public OPAC view, click Need Help. The help ticket is also available on the Sage Members Map and About Sage in the OPAC view.

SERIES NUMBERING:
Pay attention to the series numbering in the 800$v and 830$v fields. This needs to be a two-digit number, ending in a period. Do not use letters or symbols in this field. If you find records with letters or a single digit number, please correct it. By maintaining a consistent two-digit format, patrons and staff will see a cleaner and more ordered search result list.

EMAIL SERIES PROBLEMS TO A MENTOR:
Sometimes authors change in a series, series names become authorized when they weren’t before, etc. Please pay attention to series titles and check them in the authorities every time you import a record. After importing your record, look at previous books in the series to see if they are correct. Try clicking the series link in the patron view to make sure the series is tracking properly. If you find an issue, please contact your mentor.
Catalogers are working hard to correct series information in our catalog. Some fixes are quick and easy, while some issues require work from the magic admin side with Beth and Jon. It’s important for both our staff and patrons to have series information that is accurate and usable in the catalog. We appreciate your extra attention to this detail.
LIBRARY OF THINGS:
Tracy Hayes led the last Library of Things discussion. It was a very informative meeting. The recording and the notes have great information. Tracy walked the group through the creation of a board game bib record. (Type ‘r’ – TMat ‘g’) Please take a minute to view the recording if you are working on board games. The completed record ‘Cascadia [Lake County Library]‘ (ID: 2416350) is a good example to use for reference. Thanks, Tracy for leading the meeting this month.

OBOB (OREGON BATTLE OF THE BOOKS):
It is OBOB time! The following entries are formatted correctly for SAGE. Cook Memorial Library will catalog their copies in April and will add OBOB notes to those records. However, if you are attaching to a record or importing a new record, add this entry if needed. We are keeping the format very consistent, so please copy and paste the following:
