New Business
RDA TRAINING/NICHE ACADEMY:
Twenty people have completed the RDA Pathway training in Niche Academy. If you have not started on this training, please begin to work on it. Heather fixed a couple of links in the trainings based on participant feedback. If you have any questions, please contact your mentor.
There are some links in the RDA manual and various documents, like the 7xx Cheatsheet, that need to be redirected now that the Sage Cataloging Resources page has been updated. Page 70 of the RDA manual has links to Appendix I and J that need to be redirected. This is being worked on and an email will be sent out when the fixes are complete. If you find a broken link, please contact your mentor.
Please note that a couple of the video time lengths are not accurate on the main menu in Niche. Some of the training videos are from outside of SAGE, and the time doesn’t transfer correctly into Niche. However, once you start the video, you will see the correct time for completion.
AUDIOBOOKS:
RDA Manual page 32
At this time, Sage is not adding ‘Parts’ to audiobooks.
Beth and Heather have been cleaning these up when they find them. Please contact Beth or any of the mentors if parts need to be removed from a library’s audiobook holdings
Parts is generally used for items that have been split into multiple pieces, like large DVD sets, or magazines that are listed by date. It is not used for audiobooks.
When you are attaching an item to an audiobook record in the system, check the disc count. If the disc count in the record does NOT match your item, you will need to import a new record.
300 field:
In the $a, audio disc is the terminology and the proper format for the time entry is (8 hr., 15 min.)
300 \\$a2 audio discs (8 hr., 15 min.)
300 \\$a4 CDs (8.25 hrs.) is an incorrect entry.

Audiobooks and music (sound recordings) are the only records that use both ℗©. This was an error on the MARC Video Cheatsheet and it has been corrected.
However, if a separate, or additional soundtrack is recorded on a different date, and if it is noted on the disc or container, then ℗ is included in the record. If both ℗© are listed on the item AND they have different dates, list them in the same 264 and separate them with a comma. The most recent date is listed first, like this:
264 \4 $c©2014, $c℗2008
Remember that the Cataloging Resource documents on the website are being upgraded. If you printed them for reference, make sure you have the most recent version. Please notify Beth, or a mentor if you find any discrepancies between the website documents and the new RDA training information.

NOTE ABOUT 264$c:
The instructor in the RDA Pathway training video mentioned that some books include a month with the year of publication. According to RDA’s “transcribe as you see it” guidelines, it is technically correct to include the month in the 264 if it’s listed on the item. If you see the month on imported records, don’t delete it. However, as per current Sage guidelines, you do not need to add the month of publication to records at this time.
TIPS AND THE MAGIC HELP BUTTON:
The enhanced editor is often easier to work in, especially if you are new to cataloging. In this view, the fields are side by side. You can click the “Stack Subfields” button to view the fields in more of a column format. Flat Text Editor view shows the strings all together and it can be a more difficult to identify the pieces. It is cataloger preference as to what view is easier to work in. Here are some helpful tools that are available in the Enhanced MARC Editor view.
- Right click to see the dropdown menus in the fixed fields.
- Right click on the indicators to see a list of options. (# means to leave that field blank)
- Right click on the subfields to see what type information goes in that field.
- In the 33x fields, you can right click in the entry field to see correct terms.
- You can right click on the field number (040, 246, etc.) and use the pop-up menu to add additional fields.
- Click the HELP button (see below) to see shortcuts for adding fields, undo/redo, etc:
Validate Button:
The Validate button is a tool that will save you some time, but it doesn’t eliminate the need to check terms in the authorities. When you click the validate button, it will give the 100, 6xx and 7xx fields a green checkmark, or a red exclamation point. You need to look up any items that are marked in red in the authority sites: https://authorities.loc.gov/ or https://id.loc.gov/.
Remember that there is a different thesaurus for LC Subject Headings and LC Children’s Subject Headings and they do not have identical terms. Any 650 with a second indicator of 1, must be an authorized in the LC Children’s Subject Headings. Some catalogers find it is easier to authorize children’s subject headings using this site: https://id.loc.gov/authorities/childrensSubjects.html.
Keep in mind that a red exclamation mark is not necessarily indicating an incorrect field. It just means that our system can’t automatically authorize the term and you need to look it up in the authorities. The authority control is continuously updating. For instance, newer authors may not be in the authorities lists yet. Sometimes the inclusion of subfields will cause the entry to not authorize with the validate button. Sometimes the term is simply too new or just isn’t in our system yet.

Bucket Awareness: If you put the same item in a bucket multiple times it will count it as more items being in the bucket but it won’t display them more than once. This causes a ‘number of items in the bucket’ vs. ‘visible items listed in the bucket view’ discrepancy. When you remove the item/record from the bucket it will only remove one copy of it and your amount will go down.
Collection development strategies – cautions and advice:
What is the best use of your time? Throw out the ‘won’t circulates’. Consider cataloger abilities and workflow when accepting donations. Please be aware of your library’s cataloging capacities, as well as the mentors’ workloads when deciding how important an item is to your circulation stats and patron needs vs. the time needed to put the item into circulation.
Review your library’s Collection Development Policy or take the steps to implement a Collection Development Policy to help with some of these ‘keep or throw-away’ decisions.
