245 Title Entry in Graphic Novels:
We are encouraging catalogers to review the Sage Series Guidelines, page 16 for detailed instructions and examples:
Graphic fiction/non-fiction and manga do not follow the same cataloging guidelines as series (even though they as well are often serial-type publications).
In the case of graphic/manga, the “book title” is considered a “part title.”
Punctuation note: The $n is preceded by a period (.). The $p is preceded by a comma (,) when the $p follows a $n
General formats
=245 10 $aSeries title.$nVol. #,$pPart title /$cAuthor.
=245 10 $aSeries title :$bseries subtitle.$nVol. #,$pPart title /$cAuthor.
If a graphic novel series contains the 490/8xx series entries, do not remove them, but please be sure the preferred graphic novel format is used in the 245.
490 0\
Pay attention and be on the lookout for the 490 0\ on imported records. A first indicator of 0 is a red flag that the series has not been traced and the series information has not been added to the record. This means that you need to add an 800 1\ or 830 \0. Change the 490 first indicator to 1. Look up the series in authorities.loc.gov and check for an authorized series title. For series specifics, see the Sage Series Guidelines. If it’s a series by multiple authors, you will need to add an 830, with the appropriate indicators.
You should also search the catalog to make sure the other books in that series are using the correct authorized series title. Sometimes series information is added to a record before there is a LOC authorized title. When the series is added to LOC, occasionally the series title is different. Sometimes it is a small difference, like adding the word series, other times LOC has used a completely different title. If you see older records in the catalog that need to be fixed, please contact your mentor.
If there is no LOC authorized series title, then use the series name that is used in our catalog. We are striving for consistency in our records to make series searches more effective. Remember that the 8XX field creates the clickable series link for the record. When you are done editing your imported record, switch to the traditional catalog or patron view and click that series link. Check to see if all of the books in that series are showing correctly. For instance, the first book in a series may not have series information and it needs to be added to the record.
Duplicates:
Please make sure you are searching all of Sage – there is a default for searching you can set on your workstation.
Go to the Administration tab and select Workstation from the dropdown
Search by ISBN first and then again with at least one title and author search.
If you see ‘Native Evergreen’ in Z39.50, it means Sage already has that bib. If you see a record in Evergreen and it isn’t a match, please contact a mentor in case changes need to be made to the record.
How to Delete a Bib Record:
Start in the MARC edit view.
NEVER delete records with items attached. There is a warning, but best practice is to be certain no items are attached before deleting the record. If you delete a record accidentally, please notify Beth or Jon as soon as possible
We created a Dulcimer with lesson book bib record. If you are cataloging a musical instrument, please look at this record for an example. Record ID 2422415
Staff Catalog (eou.edu) (https://catalog.sage.eou.edu/eg2/en-US/staff/catalog/record/2422415)
Jon has placed all of the LoT discussion summaries in one place for us – Library of Things Minutes – Staff Resources (sagestaff.org)
Minutes and Videos on Staff Page:
Cataloging minutes and videos are organized and available on the staff Sage page.
Reminder UPDATED DOCUMENTS AND BROWSER BOOKMARKS:
Cataloging documents will continue to be updated on the website in order to provide our catalogers with the most up-to-date information possible. Please make sure you are using the most recent version if you are keeping printed copies for reference. We are now including dates on the sheets, so you can check if you are using the most recent version.
Outdated browser bookmarks/favorites are resulting in a number of ‘Page not found’ results. If you haven’t updated your bookmarks, now is a good time to do that, too.
