Use of charts, plates, photos in the Ills fixed field
The thing that is definitive about plates is they are excluded from pagination. Because they are excluded, we need to account for them separately. If they are included in pagination, illustrations are not considered plates.
Definitions from ODLIS (Online Dictionary of Library and Information Science)
Plate – Illustrative matter in a book or other publication, usually printed with or without explanatory text on a leaf of different quality paper than the main text, with the reverse side often blank or bearing a descriptive legend. Plates are usually inserted in the sections after gathering, either distributed throughout the text or in one or more groups.
Because they are not integral to the gathering, plates are excluded from the pagination; however, they are usually numbered in Roman or Arabic numerals and listed in order of appearance in a separate part of the front matter. In the bibliographic record created to represent an item in the library catalog, the number of leaves or pages of plates is indicated in the physical description area, following extent of text.
Three examples were discussed.
Scenario #1: 16 pages of color photographs on glossy paper together in the middle of the book. The pagination stops with the page prior, and continues with the next consecutive number on the page after. These are plates. The information in $b describes what is on the plates, as well as the rest of the book. The illustrations fixed field should be “af” and 300 should be:
300 \\ $a ### pages, 16 unnumbered pages of plates : $b color illustrations ; $c ##cm
Scenario #2: 16 pages of black and white illustrations interspersed throughout the book on the same type of paper as the rest of the book. Like the previous example, the pagination stops before each illustration, and resumes after. These are plates. The illustrations fixed field should be “af” and 300 should be:
300 \\ $a ### pages, 16 unnumbered pages of plates : $b illustrations ; $c ##cm
Scenario #3: 16 pages of color maps printed on glossy paper interspersed throughout the book. There are no numbers printed on any of them, but the pagination doesn’t stop and resume as with the prior two examples. These are not plates, as they are included in the pagination. The illustrations fixed field should be “b” and 300 should be:
300 \\ $a ### pages : $b color maps ; $c ##cm
Maps: If maps are only shown on the endpapers, do not include them in the Ills fixed field or the 300$b. Instead, make a 500 note that says “Maps on endpapers.”
Photographs: Photographs are only included in the Ills fixed field and 300$b if they are actual photos that have been pasted or attached to the book, like photographs in a scrapbook. Photographs that are printed on the book pages are treated illustrations. They do not get an “o” in illustrations fixed field.
Portraits: Portraits refer to a posed image of an individual, or family.
Leaves of plates: Leaves are considered the front and the back of the page. One leaf is essentially two pages. Leaves are only printed on one side, like in an art book where the image is on one side and the back is blank. This happens more often on older material.
Missing $b in 300 on videos and audiobooks
We are seeing some video and audiobook records that are missing a subfield b. If you import a record from Z39.50 that doesn’t have $b, please add it. This information shows in search results as the physical description and it is helpful for our patrons and staff. Journal Title search
When searching for magazines, you may get better search results if you use Journal Title search instead of keyword or title.
Images in record
Sage uses a vendor subscription (Content Café) to add images to our catalog based on the information in 020 or 024 field. Occasionally, you may get an incorrect image, or no image when you import a record. You can try rearranging the 020 fields and sometimes that will bring up the image. If the item you’re cataloging is more obscure, older, or self-published it may not have an image match. If this is the case, you can find an image online and email it to Jon George (jongeorg.sagelibrary@gmail.com). If you email an image, make sure it’s at least 400 x 400 px and include the Record/Database ID and title. Jon uploads images once or twice a month, based on the volume of images he receives from catalogers.
RDA implementation and Niche Academy
The RDA Subcommittee finished the RDA Manual and the Sage User Council has formally adopted the updated Sage Cataloging policy. We are no longer using AACR2 and all records now need to be RDA compliant. To assist catalogers in their training, we have created a Sage Library System Academy in Niche Academy (Oregon State Library’s learning platform). All catalogers need to complete the RDA Learning Pathway in Niche Academy by the end of January 2023. The RDA Pathway will take approximately 1.5 hours to complete, and it includes a link to the RDA Manual. Feel free to reach out to your mentors if this time frame will be an issue for you.
Go to https://my.nicheacademy.com/sagelibrarysystem. If you already have a Niche Academy account, you can use that account. If you don’t have a Niche account, go to the site and log in. There will be a brief wait, usually less than 24 hours, to get your account accepted. If you have Niche Academy questions, please contact Heather Spry (hspry@bakerlib.org). If you have RDA or training questions, please contact your mentor. An email will be sent out with this information and a link to Niche Academy will be put on the Sage cataloging web page.

This RDA Manual is intended to be used as a reference. You can simply click on the topic you are looking up in the contents and it will take you to that section. The manual is on the Sage cataloging page at https://www.sagelib.org/staff/wp-content/uploads/2022/12/RDAmanual.pdf.
After giving folks time to look at the training materials and complete the RDA Pathway, we are planning on offering online sessions for further discussion and to answer any questions that people may have. The goal with this entire process is to help everyone be successful and provide a variety of avenues for people to receive training and assistance.
Using the 505 and 7xx in anthology records
We often find enhanced 505s when importing. These entries assist with searches. If you import a record for an anthology and the record doesn’t include an indexed 505 and 7xx, please add them. The 505 needs to be indexed, so those titles will search in the catalog. For example, an author may combine a group of novellas into a single book. Indexed 505s are also used for chapter headings when cataloging text books. One way to save time, is to find a record on WorldCat, copy the 505, and then paste it into your record. Spanish materials
