Cataloging Committee Meeting Minutes

Attending: Barbara Telfer (Dalles Wasco), Godelieve Uyttenhove (Lake County Library), Valerie Gardner (Ontario Community Library),  Heather Estrada (BMCC), Katrina Gaines (EOU), Beth Longwell – System Administrator (EOU), Laurie O’Connor – Co-chair (Harney Co.),  Jenny Simpson (Nyssa), Molly Hamlin (Planetree Health),  Catherine Wick (Pendleton), Ann Zuehlke – Chair (Hood River Valley HS); Buzzy Nielsen, Sara Samuels (Hood River); Brent Mills – Sage System Tech (Hood River).

The meeting was called to order 11 a.m. by Ann Zuehlke. Laurie O’Connor–recorder for this meeting as Dea was travelling.

Discussion/Approval April 2013 CC minutes:  There were no corrections or comments; motion to approve the minutes as presented was made by Barbara Telfer, second made by Catherine Wick; approved unanimously.

RDA subcommittee:  (Katrina, Beth, Heather): 

Many Sage catalogers are contacting Ann requesting resources and guidelines on how we should all be preparing to convert to RDA, and wondering how catalogers are supposed to handle RDA records. Beth reported Evergreen currently takes RDA tags, but does not yet display or search from them.  Future upgrades will gradually be incorporating RDA tags, and will have transitional ability to continue displaying AACR2 tags as needed.  There are continuing concerns related to material type designation and displaying under RDA practices.

Subcommittee members will select 3 good RDA training links to all Sage Catalogers.  To encourage all Sage catalogers to participate, Ann suggested someone should monitor who has viewed and completed these webinars as “training certifications”. Beth said she and Brent could put a tracking form on the Wiki to monitor completions. Laurie and Beth agreed that Sage has ample time to prepare for full RDA compliance, and at this time training all Sage catalogers for full RDA skills is not necessary or even feasible.  RDA is still in development.

However, Sage catalogers want guidelines on how to handle bibs during the coming months (years?)—how to edit CIP bibs, which tags will EVG display from and when, which tags can be repeated (260 & 264, for example.) Subcommittee will work together to provide guidelines for transitional bibs.

Beth offered to circulate RDA tips to Sage Catalogers, recommending use of a blog format for better archival tools. Laurie expressed concern that many catalogers do not want another communication tool to monitor, and requested Beth consider using multiple formats to spread access to her “tips”. Beth agreed this would reach more catalogers, and said she and Brent would create a Wiki RDA resource page, as well as clear email updates to all resources being posted.

Beth looked into a Sage “group purchase” of the RDA toolkit, but wanted committee feedback on how many simultaneous subscriptions we should pay for at this time.  Laurie suggested Beth and the other subcommittee members discuss this, get clear pricing guidelines, and make their recommendations to the CC for upcoming group purchase of the RDA toolkit.

Sage trainings (Christina, everyone): 

Catalogers are requesting training opportunities, and new catalogers must have a training option in order to be Sage certified.  Nobody has a current solution to this need/problem, because monitoring and tracking completions is a large commitment.  Buzzy pointed out that the LSTA proposal for a 2-year contract with a centralized cataloging specialist, if awarded, would greatly help Sage get their cataloging support system in order, but we must find a way to sustain that ourselves after grant completion period.

Ann recommended we come up with 2-3 recommended online trainings to all Sage catalogers, and she offered to track completions of such trainings.  The RDA trainings that will be recommended (see above) will be our current training modules.  Beth said the completions could be tracked on a Wiki function that she and Brent will create.

LSTA funding:  (Buzzy, Beth): 

The 2012 LSTA carryover funding for Sage database cleanup: A selection committee  made up of Karen Clay, Buzzy Nielsen, Dea Nowell, and Beth Longwell reviewed vendor proposals and selected “Backstage Library works” to complete the records de-duplication work. In addition to database cleanup, Backstage work will include RDA updates to our existing records. Work has not yet started, but will soon, and must be completed by September 30th under LSTA specifications.

The brief proposal for 2014 LSTA funding for 2 year cataloging specialist in Sage resulted in a request that we submit a full proposal this coming fall. While Buzzy is optimistic about our chances to be awarded funding, he reminded us it hinges on Congressional funding for programs such as LSTA, which could be affected by sequestration. Concerned voters should contact their Congressional delegates. If this grant is awarded to Sage, Baker Library District will serve as the fiscal agent during the project.

[Action item: Buzzy will keep Sage informed on 2013 application process and will be looking for input; Beth will keep Sage community informed on the de-duplication work to be done by Backstage.]

Report from System Admin: (Beth): 

  1. Evergreen issues/updates; RDA implementation:  Beth reported inadequate scoping functions using the 999 workaround, and that another solution is being sought.  Hopefully, RDA’s 300 fields may eventually offer material type scoping and display.
  • Authority Control , LTI (including RDA authority incorporation): Beth recently received new authority records, and will be working to incorporate them soon.
  • “Weekly tip”:  Beth would like to use a blog spot to share tips, RDA guidelines, etc.
  • Empty bibs: Beth said these should only be evident on the “staff client”, and not the OPAC. This has been a long term “trouble ticket” from multiple EVG library systems, but has yet to be solved or addressed by Equinox, as other issues with higher priorities keep bumping it. She will review the Sage list of these empty bibs and attempt to find their source—input or examples would be appreciated.

Electronic records continue to display system wide, even though most are only available to limited specific sites—no update on solution at this time.

[Action item: Beth will be entering new LTI authority records and informing us about improved scoping options. She will utilize a blog to share cataloging tips, RDA guidelines, and EVG news/tips.  Beth will research empty bib list and communicate findings/questions with Sage members.]
