Sage Council Minutes
May 12, 2009, 9 am Pacific Time
Attendance: Karen Clay, Beth Longwell, Kim Tally, Jo Cowling; via video: Perry Stokes, Ken Reading, Kat Davis, Marsha Richmond, Shannon Van Kirk; via conference call: Marie Baldo, Kathy Street.
Council Chair Karen Clay called meeting to order at 9:10 am PDT.
- Agenda Review—1 addition suggested
- Approval of Minutes—Paul Weiss sent in some suggested changes, which will be implemented.
- Committee reports—
- Courier Committee—Beth identified click-n-ship as the service consuming the largest part of the courier budget, and did an analysis of all the click-n-ship sites, to see what actions could be taken in each case. If all suggestions are implemented, we should have an annual savings of $9,200 (based on previous 6 months of data). Beth is trying to get as many of these suggested actions as possible implemented immediately.
- Specific actions: Libraries in Union, Imbler, Enterprise, Elgin and Joseph will be served by a local La Grande based courier who charges minimally. Libraries in La Grande and Cove will make use of local staff willing to make a drop off to EOU on an as needed basis. Libraries in Lake County and Baker County will explore the possibility of using the main library as a drop site and switching the branch libraries to media mail; and additionally Lakeview will be served by the Orbis Cascade Courier. If possible, Arlington will be served by the Orbis Cascade courier and a local driver will transport materials from there to Gilliam County and Condon High School. The following libraries/areas have low activity and will remain click-n-ship sites: Crane school, Mitchell School, North Powder Public, Prairie City, Grant County, Spray, and Wheeler.

- Open Source Committee—testers at the various test libraries have been sent information on how to download and install the client, as well as instructions for a first test. The test is proceeding without our Sage data in the system at the moment. Data migration is proceeding more slowly than anticipated, and is not yet complete. We are about a month behind schedule, but need to make sure that the data migration is done properly and not hurriedly, as a good job now can make a full migration a lot more straightforward.
- Formation of short term committee for consideration of region-wide loan rules for Sage—Ken Reading is suggesting this, as a loan rule reconciliation has recently been undertaken for Umatilla County. Consensus was that this was a good idea, timely, could lead to increased usage as patrons face more consistent rules. Committee members are: Shannon Van Kirk, Kathy Street, Jo Cowling, Marie Baldo, Ken Reading, Kat Davis, and either Carmen or Sarah (reps from Baker County). Work will start in July.
- Availability of audio books from Sage libraries—A concern was brought up that Sage Libraries have inconsistent policies for lending audio books and video materials. It does not seem fair for some libraries to lend while others refuse. Action – Beth will send out an e-mail appealing to libraries that do not lend their audio or visual materials. The hope is that this e-mail will trigger a discussion so we can find out what some of the issues and concerns are.
- Next meeting time—Scheduled for Wednesday July 22nd at 1:00 pm. We will be voting on whether or not to migrate Sage from Innovative over to Evergreen.
- OPAC redesign—Libraries (Baker in particular) are still having issues with the display not properly spaced in Internet Explorer. Beth will look into the problem again.
