New Cat 1: Congratulations! Ryan McGinnis – Cook Memorial Library, La Grande

Announcement – No action needed at this time: OCLC Connexion phase out April 30, 2024:

Libraries using OCLC Connexion will need to move to Worldshare. We will be providing updates and training during the transition and we will keep libraries updated as information comes in.

Beth explained that Worldshare is a different interface for accessing OCLC records and the change will take place in April. There is plenty of time to get everyone trained and ready to switch to the new interface.

Serials, Continuing Resources, Parts, and ISSN records

Please contact a mentor when working on items like magazines, the Oregon Blue Book, NOLO handbooks, FODOR travel guides and other ‘continuing style’ resources and publications. One way to determine if an item should be treated as a serial is to check for an ISSN.

Serial publications should be listed under a single record, with the year designated in parts. We do this routinely with magazines. There are other items that should be treated in the same manner, such as the Oregon Driver’s Handbook and Oregon Blue Book. These items should have a single record with assigned parts. Most libraries have these two items, so records were merged and parts were added in order for patrons to easily request the year they prefer.

One of the reasons this decision was made was to make searching easier for staff and patrons. By putting multiple items on one serial record, there are less records to sort through in search results. This method gathers all of the records into one place. By assigning parts to individual items, we are able to place holds on specific editions within that record. When we use individual records for every issue published, the catalog becomes cluttered and it can be difficult to find the needed item.

Subject headings: Graphic novel subfields – Do not use dual $v’s

$vJuvenile fiction and $vComic books, strips, etc. cannot be used together in one 650. There are instances where you can use two $v fields together, but this is not one of those cases. If you believe that you need both entries, use separate 650s. See the following examples:

Check 020 fields on import

When importing records, check the 020 fields. Delete $c fields. Price should be entered in item attributes, not in the record. Move “hardcover” or “paperback” to $q. See examples below:

When to remove the 049: Only when importing from Z39.50

The 049 and all 9xxs may be removed from records when importing from Z39.50 during the ‘Edit then Import’ process. Some 9xx fields are stripped by Sage automatically – but, before importing, the 9xx fields in Z39.50 records do not pertain to our use of Evergreen.

The 049 is a local holdings tag. It applies to the library that made the record. When importing from Z39.50, the 049 doesn’t apply to our catalog, so it can be removed. However, when we bring in a record from OCLC Connexion, our system adds a 049 to the record. We need those 049 tags. Therefore, do not delete 049s if you are importing from OCLC and do not delete 049s from records already in SAGE.

Deceased authors: Continuing series authorities: who gets the 800?

The series (800) remains under original author’s name and it’s OK to add the 700 for the original author.

The discussion regarding this book provided clarification on how to catalog books that belong in multiple series, especially when they include a deceased author. Refer to the recording for the full discussion and to the notes following these minutes for full details and links.

Highlights of discussion-

Support and Defend by Mark Greaney is the book used in this example. This book is in multiple series with multiple authors. This example is very detailed and not what you would normally see, however it is a good example of the different things to consider when dealing with multiple series titles and authors.

Put the author listed on the title page into the 100 field. In this case, it is Mark Greaney (see image of title page).

The 490 lists the information as it is printed on the item. In this case, the series is listed as a Campus Novel, but there is no volume number given (see image). Use brackets to show that the cataloger is providing the numeration. The 490 is not visible in the OPAC.

  • SAGE series guidelines are being updated. You do not need to include a 490 if the item does not provide a series title. An announcement will be made when the updated guidelines are posted.

Use the 500 note to show where you found the series information. The 500 is visible in the OPAC.

Use the 800 field to list the authorized series title(s). Check the authorities web page. The 800 is visible in the OPAC and it creates the clickable series link. You can have multiple 800s. The first entry will be visible in the search results list. The other 800 entries will be visible when you look at the individual book in the catalog. In this case, the authorized series titles list Tom Clancy in the $a.

After our discussion, John Brockman, who shows a preference for nonfiction items, asked if we can simply not have fiction series. Celine, who prefers fiction, provided a firm reply of, “No, John.”

Campus (fantasticfiction.com) is where I was able to find the numeration for this series.

Co-authors will get the 700 with a(n) $eauthor relator term if they co-authored before Tom Clancy died and both names appear on the title page:

Here is Tom Clancy’s website, where it lists five more authors who have written with or continued on after Mr. Clancy’s death and will get the 100 IF their name is the author in the CIP or credited on the title page alone, without Tom Clancy.

The 490 is for transcribing series information from the resource, and this item only has ‘The Campus novels’ printed on the item.

It is not wrong to enter the information in brackets in a 490 for the other series’ information that does not appear on the item, but Sage Specific Practices advise against it.

A Campus novel IS present on the item, however the volume is not stated therefore it gets a 490:

Not incorrect, but not really helpful

‘Campus novel’ is not an LOC authorized series. Following LoC’s established series author and title entry for this author, we are able to construct the 3rd authorized series entry.

Whichever 800 is listed first will display in the OPAC search results list, once in the record, the patron will see all 3 series listed.

There is no rule for which series to list first, so choose the one you feel patrons will look for.
