CATALOGING COMMITTEE MEETING

Monday, March 19, 2012

Minutes from the February meeting:  Darlene moved, Lindy seconded, to accept the minutes as presented, with this one correction:  Rather than “suppressing some of the electronic records”, Beth has limited the search process so that “books” can be more easily found by patrons.

MARC 32 class:  The various trainers discussed the number of their students who have completed the MARC 21 on-line course.  The deadline remains March 30, 2012.

Regional Sage trainings:  Jayne, Dea and Christina have agreed to be trainers.  Katrina won’t have the time to train in her region.  Dea and/or Christina may be able to step in and help with this.  Re consequences for non-complying libraries, Laurie said that she would like several months of discussion on this before starting implementation.  A policy should be finalized, and then sent to Sage Council for approval.  Christina stated that, since training is a requirement, the consequences for non-compliance need to be clear and firm. 

Updating cataloging manual:  Dea said that Deborah Fritz has given her OK for us to copy her instructions on completing the 008 field.  Laurie said this will be added to the cataloging manual.

Sage cataloging policy proposal:  Laurie will work on this with the goal of getting it to Sage Council at its May 15th meeting.  It will be discussed at the next Cataloging Committee meeting on April 30th.

Sage cataloger levels:  Dea’s draft has been presented as a draft to Sage Council.  Members of the Cataloging Committee will develop this, and it will be presented again, along with cataloger training requirements for each level (which Laurie will work on), at the May 15th Sage Council meeting.

System Administrator’s report:  Beth said that catalogers should now add field 999 rather than 946 to bib records.  She’ll send out a list of the correct terms to use.  The series index has been improved so that patrons can now limit searches by entire series rather than volume only.  Keyword search will be improved; title and author searches already have been.  Laurie asked if catalogers should be deleting field 856.  Beth said sometimes it provides useful links and that this is something the Cataloging Committee needs to discuss.

Other committee cataloging topics:  The Development Committee is still discussing which note fields would be most helpful for patrons to see, without creating an OPAC view that’s too information-heavy to be useful.  Under discussion: 511, 586, 505 and 538.  Beth said that technically there are no restrictions on the number of note fields that can be viewed on OPAC.   It was agreed that the 511 should be added now, so she’ll do that.   She’s also working on how to suppress note fields which are blank in individual bibs.

Future topics:  The committee needs to develop a policy on the recently nationally adopted RDA and discuss it in a few months.  Katrina suggested that no formal training needs to be done on this until next Fall.  BISAC subject headings, which are now in many bib records, are coming from many sources, and Dea said to expect more of them.  Beth said that she may be able to block them when records are imported.  She also said that the next client upgrade will likely be near the end of June.

Next Cataloging Committee meeting:  April 30.  Beth will be unable to attend, so any committee questions will be sent to her before that.
