Cataloging Committee Meeting Minutes

Discussion/Approval November 2014 Cataloging Committee Minutes: The meeting was called to order at 11:07. The November 2014 minutes were read, corrections were noted. Laurie made a motion to accept the minutes as corrected; Carmen seconded; unanimous approval.
Cataloging Permission Levels: Beth reported that implementing cataloging permission levels can happen at any time now, and need not wait for system upgrade. Beth and David will review training levels, qualifications, library by library, to put proper permission levels in place. Beth will assign Cat 3 (basic level) to any library not having documented training in place. David will be offering basic training to any libraries needing or requesting cataloging training, and their permission levels will then be increased. Beth thought she could begin implementing initial permission levels within the month.
Sage User Survey: The Sage Council discussed the “User Survey” at their last meeting, but wanted the Cataloging Committee to officially review and vote on the proposed content before the Council vote. Recommendation from the cataloging group today included replacing the large Sage map with the new Sage logo at the top of the survey. Also, it was suggested that the survey link could be shortened, to make clear one-click connections through library web pages, Facebook, handouts. Individual libraries are responsible for promoting their local participation in the survey. It can be made available on the OPAC, library web pages, Facebook, and as a handout. Results will be tallied by David. It should be circulated around one month from launch, dates to be announced once it is available. Laurie made the motion to send the survey proposal on to the Sage Council; second by Perry; unanimous approval.
OPAC Images: Several attendees commended the improved image displays on the OPAC, which Beth implemented last month. Beth noted that there were still a few image errors, but that she had contacted Baker & Taylor ContentCafe2 and they were working to further improve this enhancement.
Cataloging Parts: Libraries have begun to add “parts” to mixed volume items as they catalog them. But there is still some confusion over establishing clear and consistent terminology for parts labels, and the committee recognizes the need to clarify wording for this function. Discussion among those attending indicated a desire to use the same terms that appear on the related bib records. It was agreed to continue this discussion in the February CC meeting, with the possibility of listing specific terminology for parts.
David Sale, Sage Cataloging Specialist, will be offering basic certification training in January and February, using the updated Nebraska MARC21 outline. Along with the class, he will announce some specific times for cataloging discussion, through the Sage Chatroom and/or by phone. This basic class will be followed with somewhat more advanced training in March, with specific focus on areas that are relevant to Sage catalog problems and inconsistencies. RDA trainings will be designed following these opportunities. He will also be reaching out to more libraries, catalogers, encouraging them to contact him with questions and problems, and will circulate “Weekly Cataloging Tips” on the Sage CatList.
Cleanup Projects: Beth and David are identifying larger cleanup projects, and they will both be working on those that are manageable. About half of David’s time is applied to such projects. Some cleanup work may have to be shared among the Sage catalogers in the future. Beth will submit reports related to their combined efforts, and will bring larger project suggestions to the Cataloging Committee as they are identified.
Ongoing Cataloging Committee topics include cleanup projects, serials, series and statement policies, required fields review, RDA implementation.
The next Cataloging Committee meeting is scheduled via GoToMeeting at 11 a.m. PST, Monday Feb. 2.
