CAT1 policy documents update
At the request of the Sage Council, the Cataloging Mentors have made some additions and edits to the documents related to advancing to CAT1 level on the Sage system. The documents can be found on the Sage Web:

Catalogers wishing to train to CAT1 must have the approval of their library director and/or supervisor(s), and should send the signed form to Beth Longwell or Dea via postal or FAX. Sage has a line item to help pay for trainings for CAT1 applicants as needed and available.
245 field preferences
In recent months, many publishers have increasingly added series statements in front of books’ titles, and may be loudly displayed on book covers, spines, TP’s. Many CIP records or substandard z39.50 records may also enter this series information in the 245 field. Outside of graphic novels, Sage cataloging preference remains that the 245 field should be for the title, and series information should be added to the proper SH fields as 490/8XX information.
An example of an undesirable 245 entry is:

In order to follow full level cataloging guidelines, the Upside-Down Magic title above should be:

Graphic novels remain the exception to this, for some mysterious cataloging reason. Their standard, full level bib looks like this, and is Sage preference at this time:

Carmen shared a good example of confusing 245 entries on the same work: Sarah MacLean’s Day of the Duchess has been entered in two different ways on Sage. Even though these two entries are not true duplicates (different publishers and pagination), it demonstrates how the different treatment is confusing in display and to the patrons:

Discussion following asked if information like this could not be posted on the Sage web, or incorporated into the cataloging manual. Yes, the mentors want to find time and better way to keep these standards posted for reference, but time is often the limiting factor. Dea hopes she can find some time to eliminate some of the conflicting information and post more recent clarifications in the next few weeks, starting with this topic. The standards manual needs to be worked on, but nobody has extra time!
Reminder: Do not make major changes to bibs (format changes, etc.) Occasionally, catalogers add or edit fields to make a Sage bib match their item, adding a different format note, 999 value, or GMD term. (This currently also means changes like the above 245 scenario. These would be better to be forwarded to a Mentor to correct.)
Please, make sure your record is consistent with the item in hand. If the record does not match your format (DVD/BluRay, LP/Regular Print, CD/Cassette), do not attempt to edit an existing bib to match your item! Any other holdings on that bib will now be incorrectly or inconsistently defined.
Do not attempt to import a record with a different format description with the intent of editing to match your item. Watch your record imports for quality and completeness. Reminder: ISBN searching alone is not adequate to determine if there is a match in our database.
Especially in recent weeks or months, the system does not always find a match that is there, even when performing an author or title KW search. Beth is working to resolve this issue, but it is always a good practice to use several different types of searches when looking for a match on the Sage database. We continue to find a lot of duplicate bib entries on our system, even on new items, so please be careful before importing new records.
