Sage Cataloging Committee Minutes for August 5, 2019

Meeting Minutes:

John asked if there were any corrections or omissions from the June 3rd meeting. Dea moved to accept the minutes, Beth seconded it. Minutes approved.

Series: Recently FantasticFiction updated their series information for Walt Longmire and if your library has been putting the FantasticFiction series information on your items it’s no longer correct.

Series report form:

On the cataloging portion of the Sage Library website (https://sagelib.org/cataloging)  there is a new report form for series problems. It is located under the Cataloging heading and above the Policies heading. Please use this form when you encounter series problems in the catalog.

If you’re unsure, don’t know how or are unable to fix a series issue please use the report form. It isn’t for minor fixes like punctuation but if there are large numeration conflicts, series title conflicts, authority conflicts that is the purpose of the report.

With the last batch of authority updates some series numeration was unintentionally removed or the 800 subfield v field was duplicated if there was more than one 800 field. This is a good use of the Series report form.

Library of things:

Library of things (which can be many types of things, objects or a collection of them) is now an item type and searchable in the catalog. When you catalog an item that you would like to be a part of Library of Things and want it to be searchable as an item type you use the =999 \\$flot

The 999 $f was a required field in the past but though it is no longer required or really used, it is still indexed. This subfield does allow the Library of Things to be searched as a Format, from the Format drop down menu or item type drop down menu, in the catalog.

Library of things are going to be vastly different from library to library, there will be further discussion on criteria of information we would like to standardize, as much as it can be. These types of items are usually only checked out at the owning library.

There was light discussion on how mandoline is pronounced, a few weighed in and it is pronounced like the instrument.

Web client:

In the Web Client when looking at item records, the tabs below the Record Summary correspond to the Actions for This Record drop down menu in the Staff Client. Holdings Maintenance is now called Holdings View.

When you right click on an item in the Holdings view you are now able to edit the volume and copy information. You can edit both in the same screen now and can change call number, barcodes, and parts information, as well as add items or volumes.

In the individual item information there is a new required Statistical category field at the Sage level. It helps Beth with state reporting, and is generally good information to know. If you are having trouble seeing it in the Web Client make sure that your Statistical Category drop down menu (upper right) is set to Sage and not at the Library or District level.

Cataloging Module Display in the Web Client:

There are three different types of views in the cataloging window. Stacked, unstacked and the flat text editor. Key commands for creating new subfields sometimes require some extra steps in the web client and there are a few quirks. When pasting information from other web sources it does keep the formatting from the original source. When you save the record it does convert it to plain text, it just looks a little off until you do. Pressing Shift + CTRL + V will past as plain text regardless of text formatting.

=534 Original Version Note:

Usually Originally published notes are put in the 500 field but they really belong in the 534 Original Version note field instead.

Instead of : =500 \\$aOriginally published by Harper &  Row, Publishers, in 1931.

It should be: =534 \\$pOriginally published: $cNew York : Harper & Row, 1931.

The most common used subfields for 534 are $p which is an introductory phrase and $c which is the copyright information that is recorded in the same format as the 264 field. You may see $t which is the title statement of the original, usually used in translations.

Oftentimes publishers will print “First published in…” which can be confusing. If it was the actual first time it was published, use $pOriginally published: and there is no space between the end of published and the colon. If the text is referring to a previous publication, but not the original, use $pPreviously published:

The two main reasons to use the 534 instead of 500 are: 1) it’s proper cataloging practice; if there is a MARC field for the specific information it should go in that field instead of a generic general note field. 2) it helps unclutter and pull that information out of all the note information and makes it easier to find.

There are also 776 fields for other editions/formats that can be recorded in the item record.

Other stuff:

Tentative upgrade to 3.2 is November/December, it’s a good idea to try the web client out BEFORE we completely transition in late fall.
