Cataloging Committee Meeting

[Note:The meeting was originally scheduled for 8/1/16, however only 3 library systems w represented at the meeting and so the decision was made to postpone the meeting till 8/15/16 hoping for more participation.]
Attending: Valeria Gardner (Ontario Comm.), Tracy Hayes (Lake Co.), Darlyne Johnson (Ontario Comm.), Beth Longwell – Interim Chair (Sage), Joyce McCurdy (Ontario Comm.), Dea Nowell – Recorder (Umatilla Co. Oregon Driver Manuals:
The Oregon Driver Manual is a serial by nature since it is a continuing resource, updated frequently and regularly. Thus, we as a consortium decided several years ago that it would be an open-entry bib record (serial bib record). It makes it much easier and more consistent to have it as such, without a fixed date. Monograph parts (Parts Management) recently have been added to the item records that could be distinguished and an email sent out regarding those that could not be specifically identified for parts addition. There are other similar resources, such as Oregon Blue Book and some travel books, that we do the same with. If you come across other resources that may need to be treated this way please contact Beth or one of the cataloging mentors regarding it. It was noted that the travel guides probably need to be reviewed for consolidation, however we are waiting to see if Sarah Samuels and Anna Lim send a proposal regarding these as was mentioned at the last meeting [June]. Regardless, monograph parts needs to be added to the item records attached to these bibs. Dea volunteered to begin working on these over the next few days/weeks.
Laurie asked how libraries were housing the two pieces of the Oregon Driver Manual. Tracy stated that at Lake County they have been rubber banding the 2 pieces together to put on the shelf, as well as adding book tape to the paper piece to help protect it on the shelf. Laurie asked about if merging can she add parts to other libraries items, though she doesn’t really want the permission. Beth and Dea can do this, so you can contact them regarding this if necessary.
Other –
999 field:
It was noted that many records are being found without the 999 ‡e being added. We do still need these for the facets (listed to the left in a browse listing). It was suggested that maybe we need to send an email out as a reminder of this.
Large print in 999 is also being missed as being identified — often only identified as “Book”. Large print items are indeed books, however most patrons are going to be more interested in the large print aspect.
040:
A clarification was made again that when importing a bib we do not add 040 ‡d (or ‡c either) — ‡d is only added to a bib when a modification to the bib is made. Adding a 999 does not qualify as modifying the bib.
Name authority:
Tracy noted that she sent an email to David that never was responded to regarding name authority. Beth noted that David hasn’t been with us since the grant period ended (June 30th). The specific reference was to Justina Chen Headley, as noted in North of beautiful – TCN: 022663458. The LC authority record shows Chen, Justina, 1968-, however it also shows a note: “email to pub. 3/01/2005: (confirmed form of author’s name as Justina Chen Headley, b. April 15, 1968)”. She was wondering if the authority records may be changing. She noted that most libraries call numbers have Headley. It was stated that call numbers are a local decision that could be based on a number of factors. It was also stated that these types of things do come up from time to time and are not totally uncommon. It was noted to keep authority records on the radar.
Fixed field Audience level:
Laurie raised concern regarding the fixed field audience level as was stated in the last Cataloging Committee Meeting minutes. She stated that juvenile audience level should be more specific if possible than just “j”. Also she asked about the adult audience level of “e” and when it should be used. Some noted using it for things like erotic fiction or R-rated movies. It was suggested to leave the general adult blank. Tracy asked when would you use “f” Specialized? Laurie noted she thinks it is probably more academic or research in nature and has never used it. The question of consistency was raised and wondering if a policy should be set. Laurie suggested the following for the beginnings of a draft policy to be reviewed at the next meeting:
Juvenile: specific levels (a, b, c, d) if possible, otherwise use “j” for general juvenile
Adult: leave blank unless specifically something like erotic fiction or R-rated movies
Website:
Beth noted she has been contemplating the cataloging portion of the website and wondered if we need to prioritize what to work on first, etc. She noted that she has yet to finish gathering all of the cataloging policy decisions to add to the website. She is thinking of moving the working documents into a separate location to make it easier to know which documents are official and which are being worked on. Dea suggested that documents also be noted inside of themselves that they are working documents so if someone has a link to them they are aware of the fact, as this has come up before with new catalogers. The question was raised about where we are in the updating of the Cataloging Manual and also about there being a need for the Cataloging Reference Guide.
